Wedding Transportation Planning: A Timeline and Checklist
Published 08/03/2026 · The Limousine List Team
Wedding transportation usually involves several separate movements on the same day: the wedding party to the ceremony, the couple between venues, close family, and — increasingly — a guest shuttle between the hotel block and the reception. Planning it as one system avoids gaps.
What You Might Need
- Wedding party — a stretch limousine, SUV, or Sprinter van depending on size.
- The couple — often a separate luxury sedan or a classic "getaway" vehicle for the exit.
- Immediate family — one SUV or van.
- Guest shuttle — a motor coach or repeating van loops between the hotel and the venue.
Booking Timeline
- 8–10 months out: book vehicles, especially May–October and holiday weekends.
- 2 months out: confirm the minute-by-minute timeline with your planner and the company.
- 2 weeks out: finalize headcounts, pickup addresses, and the guest-shuttle schedule.
- Day before: reconfirm driver contacts and the first pickup time.
Questions to Ask
- What is the hourly minimum, and does the clock start at the garage or at first pickup?
- Is gratuity included?
- What is the backup plan if a vehicle has a problem on the day?
- Can one vehicle cover multiple movements, or do overlapping times require separate vehicles?
- Does the venue have restrictions on vehicle size or staging?
